Project Coordinator

Summary:
The Project Coordinator is responsible for the project management of migrating clients onto our preferred platform. This position will schedule and coordinate the key activities with internal departments, external vendors and clients to ensure the installation process is completed on time and in accordance with client requirements. Responsible for the overall coordination and execution of project calls/meetings for converting clients. This position will schedule and coordinate these activities and ensure client touch point calls are completed timely, accurately and in accordance with client and company requirements. 

Essential Job Responsibilities: 
• Act as primary project client facing contact designated for platform conversion events. 
• Manage multiple groups of client conversion project meetings simultaneously. 
• Manage tasks assigned to ensure project completion in accordance with client requirements. 
• Works in a consultative role to the client as well as the client support team in support of scheduled client meetings and incoming client queries. 
• Manage multiple implementation tasks with other internal groups to ensure project completion in accordance with client requirements. 
• Provide continuous client feedback and status updates to key project stakeholders including the client support team and the conversion event Project Managers. 
• Develop and update project plans and related task lists for individual clients within the larger conversion groups. 
• Provide dashboard and status reporting for the projects and report results to the Project Managers. 
• Perform specified manual tasks required to support the conversion of clients between platforms. 
• Develop power point presentations and other documentation to support the client touch point meetings. 
• Manage client expectations with respect to live dates and other key timelines. Guide the clients through the conversion projects ensuring satisfaction. 
• Participate in account processor conversion meetings in support of the conversion events. 
• Maintain accurate and complete project documentation including meeting agenda, minutes and issues logs. 
• Build all client databases 
• Provide after hour support of client conversions as needed. 
• Work closely with event Project Managers to update project plans. 
• Develop and maintain consistent standards for project status reporting for internal and external purposes. 

Basic Qualifications for Consideration: 
• Good project management experience including the ability to effectively manage and prioritize projects, issues and tasks. 
• Previous financial services industry, implementations, or installations experience highly desired. 
• Previous client services/relationships experience 
• Proficient computer skills including MS-Office Suite (Excel, Outlook and Word, Visio, Project and reporting tools). 
• Strong organization skills and attention to detail. 
• Strong customer services skills with the ability to maintain professionalism under pressure. 
• Strong verbal and written communication skills with the ability to communicate within all levels of clients and internal staff. 
• Strong sense of accountability and follow through, effective problem solving skills as well as a commitment to positive solutions and the client experience. 
• Team player with the ability to work independently. 
• Ability to provide after-hours support for client implementations. 
• Energetic self-starter with a strong sense of ownership, accountability and attention to detail. 

Preferred skills/experiences/education: 
• Bachelor degree preferred or equivalent work experience required. 
• Three years’ conversion work experience.
